The BC Spartans (“the Club”, “we”, “us”) operate bcspartans.com and the Club’s registration and member services. We take the privacy of our players and their families seriously. This policy explains what personal information we collect, why we collect it, and how we handle it, in accordance with British Columbia’s Personal Information Protection Act (PIPA) and other applicable Canadian privacy law.
The BC Spartans are a North Shore hockey club based in North Vancouver, British Columbia, running skill development programs, camps, and teams at rinks including Canlan North Vancouver and West Vancouver Arena.
We only collect information that we need to run the Club. Depending on how you interact with us, that includes:
Our programs are for young athletes, so much of the information we hold is about minors. We collect it only from a parent or guardian, use it only to run the Club’s programs and keep players safe, and never use a child’s information for marketing.
Payments are processed by Square on Square’s own secure checkout pages. Your card details go directly to Square and are never transmitted to or stored on the Club’s servers. Square’s handling of your information is described in Square’s privacy policy. We keep a record of the transaction (item, amount, status, and receipt reference) for our accounting and to manage your registration.
The chat assistant on this website is shared by the BC Spartans and two affiliated clubs — NHTC (nhtclangley.com) and All Pro Hockey (allprohockey.com). It runs as one service operated by NHTC on behalf of all three clubs, so the messages you send are processed there, and the replies are generated by a third-party AI provider. To answer questions the assistant is given the Club’s public information — programs, tryouts, teams, schedules, venues, and contact details — and not registration, member, or payment records.
Because the assistant is shared, a conversation can move between the three clubs: if you ask about something another club runs, the assistant can point you there. When a chat ends on, touches, or is referred to a club, that club receives the conversation, the details you chose to leave, and which of the three sites the conversation involved.
Please don’t type health information, payment details, or anything else sensitive into the chat — use the contact form or email us instead. If you ask for a copy of a conversation, we send it to the email address you give us. You can ask us at any time to delete a conversation and the details left with it.
We do not sell personal information, and we do not share it with third parties for their own marketing.
We rely on a small number of service providers to run the website and Club operations, and we share with each of them only what they need to do their job:
We may also share personal information with partners and with other service providers we bring in to run the Club, its website, and its programs — for example email, hosting, analytics, registration, or scheduling tools, and the affiliated clubs we share the website assistant with. Each of them receives only what they need for that work, may use it only for that purpose, and may not use it for their own marketing. We may also share information where the law requires it, or where it is needed to protect the safety of a player or of others.
The website uses cookies that are necessary for it to work — for example, to keep you signed in to the member area. When analytics are enabled, Google Tag Manager may also set cookies to help us understand how the site is used. You can block or clear cookies in your browser settings.
We may take photos of players at Club activities and publish them on our website, team pages, and social channels, with parent or guardian consent gathered during registration. If you would like a photo taken down, email us at [email protected] and we will remove it.
We keep registration and account information for as long as it is needed to run the programs you have signed up for and to administer the Club across seasons. Chat conversations and the details left at the end of a chat are kept while they are useful for answering and following up. Payment and accounting records are kept for the periods required by law. Information we no longer need is deleted.
We use reasonable safeguards to protect the information we hold: connections to the website are encrypted, access to registration data is limited to Club staff who need it, and sensitive operations are protected behind authentication.
You may ask us at any time to access the personal information we hold about you or your child, to correct it, to withdraw consent, or to delete information we are not legally required to keep. Email us at [email protected] and we will respond promptly.
If we change this policy, the new version will be posted on this page with an updated effective date.
